  • Technical data — your IP address, information about your browser and device, and data related to the use, operation and security of the website.

The scope of personal data processed depends on how you use the website.

Handling Messages and Enquiries

We use information submitted through the contact form or by email to receive enquiries, conduct correspondence and respond to messages.

The legal basis is Article 6(1)(f) GDPR — the Controller's legitimate interest in handling incoming enquiries and conducting correspondence.

Where an enquiry concerns steps taken at the request of the data subject before entering into a contract with that person, the legal basis may be Article 6(1)(b) GDPR.

We do not use contact form submissions to send newsletters or for marketing unrelated to the enquiry.

Website Security and Operation

Technical data may be processed to ensure the proper operation of the website, protect against unauthorised access, prevent abuse and diagnose technical issues.

The legal basis is Article 6(1)(f) GDPR — the Controller's legitimate interest in maintaining the security and reliability of the website.

4. Data Retention

We store personal data submitted through the contact form on servers operated by our hosting provider, OVHcloud, for no longer than 30 days from receipt of the message.

Personal data contained in direct email correspondence is retained for as long as necessary to handle the correspondence and, where justified, for any period required by law or necessary to establish, exercise or defend legal claims.

Technical data related to website operation and security is retained for as long as necessary for those purposes, in accordance with the configuration and operating practices of the hosting services used.

5. Data Recipients

Personal data may be processed by OVHcloud, our hosting infrastructure provider, to the extent necessary to operate and secure the website.

Further information about the hosting provider's data protection practices is available at:

Personal data may also be disclosed to competent public authorities where required by applicable law.

We do not sell personal data or disclose it to other parties for their own marketing purposes.

6. Transfers Outside the EEA

The Controller does not transfer personal data outside the European Economic Area (EEA).

7. Voluntary Provision of Data

Providing personal data through the contact form is voluntary.

However, providing your name or company name, email address and message content is necessary to submit an enquiry through the form.

Without the required information, you will not be able to use this contact method.

  • Right to object — you may object to processing based on the Controller's legitimate interests on grounds relating to your particular situation.
  • Right to data portability — this applies where the conditions of Article 20 GDPR are met.

To exercise your rights, contact the Controller at contact@activsoft.pl.

We respond to requests without undue delay and generally within one month of receiving them.

You also have the right to lodge a complaint with the President of the Polish Personal Data Protection Office (UODO) if you believe that the processing of your personal data infringes the GDPR.
